1. About These Terms & Conditions

These Terms & Conditions apply to appointments and services provided by SMAY Medical Group Ltd, trading as Estiora Aesthetics.

By booking an appointment with Estiora Aesthetics, you confirm that you have read, understood and agreed to these Terms & Conditions.

Please read them carefully before making a booking.

2. Our Services

Estiora Aesthetics provides aesthetic, skin and non-surgical cosmetic treatments.

All treatments are subject to an individual consultation and suitability assessment.

Booking an appointment does not guarantee that a particular treatment will be carried out.

We reserve the right to recommend an alternative treatment, postpone treatment or decline to provide treatment where we reasonably consider this necessary for your safety or wellbeing.

3. Consultation and Treatment Suitability

A consultation may be required before certain treatments.

You must provide accurate and complete information about your medical history, allergies, medications, previous treatments and any other information that may be relevant to your treatment.

You must inform us if your health, medication or circumstances change between your consultation and treatment.

Certain medical conditions, medications or circumstances may make a treatment unsuitable or require treatment to be postponed.

Where appropriate, we may recommend that you seek advice from your GP or another healthcare professional before treatment.

4. Booking Appointments

Appointments can be booked through our online booking system or by contacting Estiora Aesthetics directly.

You must provide accurate contact information when making a booking.

Once your appointment has been confirmed, the booking is subject to these Terms & Conditions.

Please arrive on time for your appointment.

5. £50 Deposit, Cancellation & Rescheduling Policy

5.1 Deposit

A £50 deposit is required to secure your appointment, unless otherwise stated at the time of booking.

The deposit is paid at the time of booking through our online payment provider.

The £50 deposit will be deducted from the total price of your treatment.

Where the full treatment price has been paid in advance, the relevant cancellation provisions below will apply to the payment made.

5.2 48-Hour Notice Requirement

We require at least 48 hours' notice if you need to cancel or reschedule your appointment.

This allows us a reasonable opportunity to offer the appointment to another client.

5.3 Cancellation or Rescheduling With 48 Hours or More Notice

If you cancel or request to reschedule your appointment 48 hours or more before your scheduled appointment time, your £50 deposit can be transferred to a new appointment.

Where applicable, a refund may be considered in accordance with the circumstances and applicable consumer rights.

5.4 Cancellation or Rescheduling With Less Than 48 Hours' Notice

If you cancel or request to reschedule your appointment less than 48 hours before your scheduled appointment time, the £50 deposit will be retained and will not be refunded.

The retained deposit represents the amount paid to secure the appointment and the loss associated with short-notice cancellation.

However, at our discretion, we may allow you to postpone your appointment and transfer the £50 deposit to a future appointment.

Any such postponement will be subject to appointment availability.

5.5 No-Show Appointments

If you do not attend your appointment and do not provide notice, this will be treated as a no-show.

The £50 deposit will not be refunded.

At our discretion, we may allow the deposit to be transferred to a future appointment.

Repeated no-shows may affect our ability to accept future bookings.

5.6 Exceptional Circumstances

We understand that unexpected circumstances can occur.

Where exceptional circumstances arise, please contact us as soon as possible.

We will consider individual circumstances fairly and may, at our discretion, offer an alternative arrangement.

Nothing in this policy limits any legal rights you may have as a consumer.

6. Late Arrivals

Please arrive on time for your appointment.

If you arrive late, your treatment time may need to be shortened to avoid delaying other clients.

If there is insufficient time to perform the treatment safely, we may need to reschedule your appointment.

Where a late arrival results in the appointment being treated as a cancellation or no-show, the cancellation and deposit policy may apply.

7. Treatment Results

Aesthetic treatments are individual and results vary from person to person.

We cannot guarantee a particular cosmetic result.

Treatment outcomes may depend on factors including your individual anatomy, skin condition, lifestyle, medical history, previous treatments and individual response to treatment.

During your consultation, we will discuss realistic expectations and potential outcomes where appropriate.

8. Risks and Side Effects

All aesthetic treatments carry potential risks and side effects.

Depending on the treatment, these may include redness, swelling, bruising, tenderness, discomfort, temporary sensitivity or other reactions.

Some treatments may carry more significant risks or complications.

The relevant risks, benefits and alternatives will be discussed with you before treatment where appropriate.

You must follow all pre-treatment and aftercare instructions provided to you.

If you experience symptoms that concern you following treatment, please contact us as soon as possible.

9. Medical and Health Information

You are responsible for providing accurate and complete information about your health, medications, allergies and previous treatments.

Failure to provide relevant information may affect our ability to assess your suitability safely.

We may refuse or postpone treatment where we reasonably believe that treatment is unsuitable or unsafe.

10. Treatment Records and Photographs

We may maintain appropriate consultation and treatment records as necessary to provide safe treatment and meet applicable legal, regulatory and insurance requirements.

Photographs may be taken as part of your treatment records where appropriate.

We will obtain appropriate consent before using your photographs for marketing, social media, our website or other promotional purposes.

You are not required to consent to the marketing use of your photographs.

11. Age Requirements

Unless specifically stated otherwise, our aesthetic treatments are intended for adults.

We may request proof of age where appropriate.

We reserve the right to decline treatment where we cannot establish that the client meets the applicable age or suitability requirements.

12. Promotions and Offers

Promotional offers are subject to the individual terms stated for each promotion.

Unless otherwise stated:

  • Offers cannot be exchanged for cash.

  • Offers cannot be combined with other promotions.

  • Promotional prices apply only during the stated promotional period.

  • All treatments remain subject to suitability assessment.

  • A deposit may still be required to secure an appointment.

Any significant restrictions or conditions attached to an offer will be communicated clearly.

13. Prices and Payments

Treatment prices are displayed on our website or communicated to you before treatment.

We reserve the right to change prices for future bookings.

The price applicable to a confirmed appointment will normally remain as agreed unless you request a different or additional treatment.

Where a deposit has been paid, it will be deducted from the treatment price.

Any remaining balance must be paid in accordance with the payment arrangements communicated at the time of booking or treatment.

14. Right to Refuse or Postpone Treatment

We may refuse or postpone treatment where we reasonably believe that:

  • The treatment is unsuitable or unsafe.

  • Relevant medical information has not been provided.

  • You are not suitable for the treatment.

  • Required consent has not been provided.

  • Treatment should be postponed because of a temporary condition or circumstance.

  • We are unable to provide the treatment safely.

If treatment cannot proceed for a reason that is not your fault, we will discuss the available options with you, which may include rescheduling or refunding an applicable payment, subject to the circumstances and applicable law.

15. Our Responsibilities

We will provide our services with reasonable care and skill and in accordance with applicable legal requirements.

Nothing in these Terms & Conditions is intended to exclude or limit any legal rights or protections that you have as a consumer.

16. Client Responsibilities

You agree to:

  • Provide accurate and complete information.

  • Inform us of any relevant changes to your health or medication.

  • Follow pre-treatment and aftercare instructions.

  • Attend appointments on time.

  • Follow any restrictions or recommendations provided following treatment.

  • Contact us promptly if you experience concerning symptoms following treatment.

  • Treat staff and other clients respectfully.

17. Complaints

We aim to provide a high standard of service.

If you are unhappy with any aspect of your treatment or experience, please contact us as soon as possible so that we can investigate your concerns and try to resolve them.
